Job Classification: Contract Our client, a large university in Princeton, NJ is seeking an Administrative Coordinator to help with all the extra organizing filing and sorting and labeling that needs to be done in order to move into a new building. This person will be support the Business Manager and Administrator.Office Move and Organizational Support - Organize and maintain paper files, electronic files, and share drive files for the department - Scan and shred files in preparation for new building move- Label, pack, unpack, organize, and dispose items for the Director and Departmental Coordinator for move- Assist with move related ordering - Organize offices and common areas in PNI building for staff Administrative Support- Provide assistance to Business Manager, Departmental Coordinator, Director, Associate Director, Staff Veterinarian, Facility Manager, and other LAR Staff- Scanning and organizing census documents, vendor documents, credit card documents, and other business documents - Formatting and editing standard operating procedures using word and adobe acrobat- Preparing agendas, handouts and electronic materials for meetings and travel - Room preparation and clean-up; setting up computer, phone, and projector support. - Schedule meetings - Assist with credit card assignments, documentation collection - Obtain and organize invoices and other documentation from vendors- Prepare financial documents such as deposits, interdepartmental invoices- Organize and distribute mail - Assist with billing, ordering, and cage card printing - Conduct inventory of supplies- Inputting staff, faculty, and student records, as pertains to LAR facilities and use. - Exhibit a willingness to assume additional responsibilities and other duties as assigned.- Date entry for billing, census, rate setting, and reports Join Aerotek Professional Services®. - 1. Ability to perform multiple tasks concurrently., 2. Ability to lift 30 lbs, ability to open packages, boxes, and materials, and move furniture for set-up of events and meetings, 3. Ability to walk a 1/2 mile a couple of times a day if needed, 4. Excellent interpersonal skills (oral and written)., 5. Minimum of one year of administrative experience, 6. Preferred experience from a lab animal research environment
