Position Summary: The Woodrow Wilson Schools Office of Graduate Admissions has an opening for a 12-month Admissions Assistant. This individual will serve as the primary administrative support to the Admissions Office Manager as well as to the Associate Dean for Graduate Admissions and the Graduate Admissions Officer. In addition, this individual will also manage the Public Policy and International Affairs (PPIA) Junior Summer Institute (JSI) admissions process and marketing.Specific responsibilities include supporting the MPA, MPP, and PhD admissions processes which includes but is not limited to determining the completeness of applications, doing data entry and GPA calculations, circulating reader sheets to admissions committee members, communicating with incomplete applicants, and copying and distributing reports. Supporting the graduate degree program application processes also includes scheduling rooms, ordering food for admissions committee meetings, creating and maintaining biographical profiles and updating them on the website, processing reference writer thank you letters, processing application feedback requests, creating, managing, and maintaining a Google Group for admitted students, assisting with Hosting Weekend as necessary, and assisting with facilitating enrollment of new graduate students. Enrollment duties consist of helping with coding admissions decisions and responses, processing FedEx mailings, copying resumes, letters, and contracts, processing acceptances, declines, and deferrals, coordinating early arrival data, prepping files for the Graduate Program Office, and creating and updating documents for admit packets and Math Camp. As manager of the JSI admissions process, this individual will manage the JSI email account, liaise with the National PPIA Office to process applications, assist with program brochure updates, update the JSI page on the website, process applications including data entry, circulating files to admissions committee members, attending meetings, creating reports and files, running letters, and creating reports and documents for admit packets. This individual will coordinate JSI print and electronic marketing and advertising including email announcements and mailings utilizing a contacts database and other data sources. General office duties also include assisting with social media implementation, advertising, and recruiting outreach as necessary, back-up for managing phones, handling a high volume of email, greeting visitors, processing invoices, and monitoring the budget.
Job Requirements
Proficiency with Microsoft Access queries and reports, Microsoft Word, including mail merge, and Microsoft Excel required. Quantitative abilities to process GPA calculations and invoices is required. Understanding admissions processes is helpful. Two years related experience is preferred as is familiarity with undergraduate colleges and curriculum. Must be a highly motivated multi-tasker with the ability to take initiative on projects and be proactive in setting goals and taking responsibility. Must have good people skills and be able to work one weekend a year. This is a task-oriented position which requires a high attention to detail, accuracy, organization and professionalism.
