TITLE: Sr. Administrative Assistant - Finance


JOB SUMMARY:

The Senior Administrative Assistant will provide a full range of administrative activities and operational support. They will be responsible for creation and administration of correspondence, meeting and travel logistics, presentations, office administration and expense control.The incumbent should possess strong administrative skills and a general understanding of business operations to assist with data collection, routine budget administration, compiling and organizing materials, as well as preparing both standard and ad hoc reports, spreadsheets, and presentations. They may be required to occasionally travel overnight in fulfillment of duties. This position will act as a liaison between the CFO and internal and external entities, providing a high level of professionalism in both demeanor and conduct.

Job Details:

1.Manage a complex calendar due to heavy meeting schedule with numerous external agencies and vendors

2.Manage travel and meeting arrangements

3.Coordinate logistics for internal and external meetings

4.Prepare business expense paperwork and reimbursements

5.Provide analytical and specialized administrative support to various departmental managers and staff of complex details and advanced administrative duties

6.Prepare and edit correspondence, communications, presentations and other documents

7.Maintains filing system for the department and retrieves information from files when needed

8.Coordinate activities between various departments and outside parties

9.Contact company personnel at all organizational levels to gather information and prepare reports

10.Assist with financial reporting and various communications as needed

11.Perform receptionist duties such as routing incoming calls, greeting customers, handling distribution of mail

12.Assist in office and department event planning

13.Perform work of a critical or confidential nature

14.Perform other duties as assigned

POSITION REQUIREMENTS:

  • Requires a strong sense of urgency with the ability to handle multiple tasks with appropriate prioritization/organizational skills
  • Strong attention to detail
  • Ability to communicate effectively both verbally and in writing
  • Ability to function with minimal supervision
  • Ability to handle confidential information
  • Experience with JD Edwards & Hyperion is preferred
  • High school diploma required, Associates or Bachelors degree preferred
  • Minimum 3 years administrative support experience, supporting multiple departments
  • Must be proficient in Microsoft Excel, Word, PowerPoint, and Outlook
