The Executive Assistant is responsible for managing the schedules, travel arrangements and providing administrative support for meetings, presentation and projects for a senior level executive.member of the Executive Leadership and Senior Executive Leadership team. The Executive Assistant represents the department to both internal and external customers. This person will also act as a mentor/trainer to the other administrative assistants in the department. The Executive Assistant will perform highly confidential and advanced clerical and administrative duties must have broad and comprehensive experience, skill and knowledge of organizational policies and practices.
  • Calendar Management / coordinate meetings and conference calls.
  • Coordinate complex travel arrangements, includes coordination with international assistants, process expense reports & invoices.
  • Provide administrative support for meetings, presentations, projects.Coordinate travel arrangements, process expense reports & invoices.
  • Coordinate company wide meetings, offsite & training. Prepare and distribute minutes of meetings.
  • Screens telephone calls and visitors and resolves routine and complex inquiries.
  • Manage budget input.
  • Act as the main point of contact for all administrative issues.

Job Requirements

  • At least 5-10 years of Executive Assistant experience or steady progression in increasingly responsible jobs as an Administrative Assistant. High School diploma or equivalent.
  • Ability to work independently and handle confidential matters.
  • Previous administrative experience.
  • Proficient in Microsoft Office, Word and Power Point; strong Excel skills.
  • Polished and professional demeanor in person, online and via phone.
  • Meeting management and planning experience a plus.
  • Ability to work well with others.
  • Able to manage multiple tasks.
  • High level of confidentiality.
  • Work well under pressure.
